Syncing with Xero

Overview

Integral connects directly to Xero to keep your accounting records accurate and up to date without manual data entry. This guide explains how the sync works, how often it runs, and what to expect.

What Integral does with Xero

✔  Pushes journal entries from Integral into Xero automatically

✔  Pulls reference data (GL accounts, contacts, classes) from Xero to stay aligned

✖  Does not import changes made directly inside Xero back into Integral

How the Sync Works

The Integral-Xero sync is one-way (push only). Here is what that means in practice:

Journal entries are written to Xero on your configured schedule or on demand.

Xero → Integral (reference data)

GL accounts, contacts, classes, and tenant info are pulled before each sync to keep Integral aligned with your chart of accounts.

Xero → Integral (transactions)

Not supported. Changes made to journal entries inside Xero are not imported back into Integral.

Important: If you edit a journal entry directly in Xero, that change will not be reflected in Integral. Always make edits in Integral and re-sync.

Sync Frequency

Syncing Journal Entries to Xero

1. Manual Sync

You or your team can trigger a sync at any time from within Integral. Useful when you need to push specific entries immediately outside of the scheduled window.

2. Automatic Sync (Scheduled)

Integral supports two auto-sync cadences, configurable per organization:

  • Daily: Runs at approximately 12:05 AM UTC each day

  • Monthly: Runs at approximately 12:05 AM UTC on the first day of each month

How auto-sync is determined

On the first day of the month: all auto-sync-enabled organizations are synced.

On all other days: only organizations configured for Daily sync are included.

Monthly-only organizations are skipped on non-first-day runs.

Pulling Reference Data from Xero

Before every journal entry sync (manual or automatic), Integral refreshes your Xero reference data, including:

  • GL accounts (chart of accounts)

  • Contacts

  • Classes

  • Tenant and organization info

A separate background process also periodically refreshes this reference data for all connected organizations between syncs, keeping Integral aligned with any changes made in Xero.

Sync Status in the Integral UI

When a sync is in progress, the Integral UI polls our servers every 10 seconds for a status update. If status is not yet available, this slows to every 30 seconds. This polling is entirely within Integral's systems and does not interact with Xero directly.

Technical Notes

  • There is no webhook from Xero into Integral. Integral does not react to Xero changes in real time.

  • The last reference data pull timestamp is tracked internally, confirming when Xero data was last refreshed.

  • Journal entries are pushed to Xero using Xero's Manual Journals API.

  • Integral supports Xero alongside QuickBooks Online (QBO) and NetSuite for ERP sync.

Frequently Asked Questions

Q: Can I see when the last sync ran?

Yes. The Integral dashboard shows the last sync timestamp for your connected Xero account.

Q: What happens if I edit a journal entry in Xero?

Edits made directly in Xero are not imported back into Integral. Always make corrections in Integral and trigger a re-sync to preserve Integral as your single source of truth.

Q: Can I switch from Monthly to Daily auto-sync?

Yes. Auto-sync frequency is configurable per organization. Contact your Integral account manager or support to update your cadence.

Q: What if my Xero chart of accounts changes?

Integral refreshes your GL accounts, contacts, and classes from Xero before every sync. Changes to your chart of accounts will be picked up the next time a sync runs.
